We're hiring a Project Coordinator

Position Overview  

Reporting to the Co-Director of Policy & Advocacy, the Project Coordinator leads the coordination of the SHIFTS Project, a Global Affairs Canada-funded project that aims to enhance the realization of sexual and reproductive health and rights of women, adolescents, and people from marginalized communities in Benin, Mozambique, Nigeria and Canada. The Project Coordinator facilitates strong relationships with all project partners, with a particular emphasis on assessing, designing, and implementing project management processes that are transparent, participatory, and responsive to the needs and priorities of all project partners. Additionally, this role is responsible for ensuring the delivery of high-quality reports and plans that are in compliance with funder requirements.

About SHIFTS

The SHIFTS Project is a 7-year initiative, in partnership with the International Planned Parenthood Federation (IPPF) and local implementing partners, whose ultimate outcome is to enhance the realization of sexual and reproductive health and rights (SRHR) of women, adolescents and most marginalized communities in targeted regions of Benin, Mozambique and Nigeria. SHIFTS will address key gender inequality and human rights issues, particularly harmful social norms regarding gender and sexuality; lack of adequate information on or access to comprehensive SRH services, particularly for safe abortion; and lack of decision-making power by girls and women regarding their health and sexuality. SHIFTS will also strengthen the resilience of health systems in the focus countries to deliver integrated SRHR services by focusing on the WHO’s building blocks of health systems, including service delivery, health workforce, access to essential medicines, and leadership/governance.  

Job Duties and Responsibilities

The Project Coordinator’s responsibilities will include, but are not limited to:

  • Coordinate with project partners to ensure participatory, transparent and responsive project management processes.
  • Coordinate with the internal Action Canada team, particularly monitoring and evaluation, finance, and communications, to ensure effective and efficient project management.
  • Lead the development of a project implementation plan to be submitted to the donor.
  • Monitor budget execution and burn rates.
  • In collaboration with project partners, prepare and submit high-quality activity and results reports to Global Affairs Canada.
  • Co-convene project partner committees to ensure effective coordination, communication and collaboration across all aspects of project implementation.
  • Maintain strong relationships and communication with the funder.
  • Manage and maintain thorough and efficient program administration across all aspects of the project implementation.
  • Organize and facilitate partner meetings, both virtual and in-person, including overseeing all logistical requirements.
  • Manage external consultants as required.
  • Effectively resolve conflict between stakeholders by encouraging open communication and implementing fair and constructive solutions.
  • Participate in cross-team Action Canada meetings to contribute to the development of the organization’s advocacy and policy strategies.
  • Regularly report verbally and in writing to the Co-Directors of Policy & Advocacy.
  • Attend Action Canada’s all-staff meetings.
  • Provide information and inputs to the Communications team to support their work.
  • Other duties as may be assigned by the Employer.

Qualifications

  • A minimum of three years experience in program/project management; program/project management certification is a strong asset.
  • Experience managing or supporting complex, multi-stakeholder projects; specific experience working on Global Affairs Canada-funded projects is a strong asset.
  • Strong track record of timely, accurate and high-quality reporting to funders.
  • Strong analytical and writing skills in English.
  • Proven experience in the development and application of performance measurement frameworks and results-based management.
  • Demonstrated experience managing high-value and complex budgets.
  • Experience organizing meetings and events.
  • Excellent organizational and administrative skills.
  • Excellent communication skills
  • Proficient computer skills, including online conferencing tools (Zoom, MS Teams, etc.), project management (Asana), cloud-based document management (Dropbox, etc.) and Microsoft Office.
  • Demonstrated capacity to work both in a self-directed manner and collaboratively with other staff and stakeholders, as well as the ability to work with minimal supervision while exhibiting strong initiative and judgment.
  • Shows a deep understanding of African culture, with specialized knowledge of the traditions, histories, and socio-political contexts of Benin, Mozambique, and Nigeria, enhancing the project with culturally aware outcomes.
  • Knowledge and understanding of the socio-political contexts within Africa; experience related to work in Benin, Mozambique, and/or Nigeria a strong asset.
  • Knowledge, understanding, and commitment to sexual and reproductive rights and a person’s right to determine their own sexual and reproductive choices.
  • Commitment to anti-racism, anti-oppression and intersectional feminist practice.
  • Flexible and adaptive, able to respond quickly and effectively to changing circumstances.
  • Priority management, strong multi-tasking skills and ability to meet deadlines.
  • Commitment to and demonstrated effectiveness working as part of a diverse and participatory team.
  • Ability and willingness to travel internationally and work outside of normal business hours when necessary.
  • Knowledge of sexual and reproductive health and rights advocacy, service delivery, and programming is an asset.
  • Experience working collaboratively and effectively with Global South civil society organizations is a strong asset.
  • Fluency in English (both written and spoken) is required.
  • Fluency in French or Portuguese is a strong asset.
  • Eligible to work in Canada.

Hours, Compensation and Benefits

This is a full-time (37.5 hours per week), permanent salaried position. This is a unionized position in CUPE Local 2722-05. The salary for this position is $69,156 per year. Action Canada also provides a generous benefits program, including extended health and dental benefits, leave allowances, and RRSP contributions. Location 

Action Canada's offices are based in Ottawa, Ontario. Candidates for this position may be based in Ottawa (and may work either from the office or from a remote work location, e.g. home office) or elsewhere in Ontario. All candidates must be legally able to work in Canada.

Hiring Process and Timeline

Applications will be accepted until Sunday, April 6, 2025. Interviews will be held the week of April 14, with a start date of early May depending on the successful candidate’s availability.

The hiring process will include a one-hour panel interview to take place over video conference (Zoom). We will provide the interview questions by email one hour before the interview. Candidates will be asked to provide three references, and those moving to the next round will have references checked.
